Many packaging projects suffer from endless email threads. Importers describe requirements in casual text messages, while suppliers interpret details differently. Missing technical details lead to wrong samples, rework and delayed lead-time.
A complete spec sheet acts as binding reference for quotation, sample making and mass production. It keeps rigid boxes and matching paper bags aligned with your expectation.
Essential sections you should include in your spec sheet:
1. Basic physical information Outer & inner dimension, box structure type, bag style, handle type, target product weight. Do not only give product size; leave proper inner clearance for your goods.
2. Material specifications Paper grade, paper grammage, grey board thickness, certification requirements (FSC), compliance requirements (PFAS-free, SVHC-free). Distinguish requirements for rigid boxes and paper bags separately.
3. Printing & finishing details CMYK / Pantone colors, hot stamping foil color, embossing depth, lamination type. Note which areas get finishing and which areas stay plain. Attach reference picture links.
4. Artwork & marking rules Recycling marks position, font size, barcode requirements, special warnings. Clarify whether marks must be printed directly, no sticker allowed.
5. Production & quality requirements Tolerance range for dimension, acceptable defect standard, pre-sample approval rule, test requirements: folding test, load test.
6. Logistics & packing requirements Export carton size, inner divider requirement, packing quantity per carton, shipping-rotection demands.
Practical tip: Attach reference photos instead of only text description. Vague words like “luxury look”, “high quality” cannot be measured in production.
